Every December there is a party nobody remembers and a party people talk about in February. The difference is almost never the budget. It is four decisions, and most of them get made by accident in October.

Decision one: pick the night before you pick the room

The single biggest lever on a Houston holiday party is the day of the week, and it is worth more than any decoration budget you will argue about later.

Saturdays in December are the first dates to go, and they are priced accordingly across the whole city. A Monday-to-Thursday evening at The Hendrix starts at $2,500 against $3,500 on a Saturday — the same room, the same hours, the same everything, for a thousand dollars less.

There is a second argument for a weeknight that has nothing to do with money. Nobody has to give up a Saturday in December. Attendance on a Tuesday evening in the first two weeks of the month is reliably higher than on a Saturday competing with three other invitations, a school play and someone’s in-laws.

If your date is flexible, book a weeknight and put the difference into food. People remember what they ate.

Decision two: stop booking a ballroom, start booking a floor

Hotel ballrooms quote by the head and then meter everything after it. The room comes with a catering minimum, a bar minimum, a corkage rule, a preferred-supplier list and a service charge on all of it. You do not find out what the party actually costs until the invoice.

The alternative is to book the floor and bring your own everything. At The Hendrix only one event runs at a time, so the building is yours for the evening — no wedding party humming through the wall, no second bar competing for staff.

Decision three: choose a shape, not a theme

“Winter wonderland” is not a plan. The shape of the evening is, and there are really only four that work for a company of any size.

Round tables for up to 300, a lectern and a video wall for the reel. Best when there is something genuine to hand out. Budget 40 minutes for the programme and not a minute more — the room turns on you after that.

The standing reception

Cocktail tables, grazing stations, no seating plan and no speeches. Holds 350. The right answer for a firm where half the room has never met the other half, because nobody is trapped next to one person all evening.

The family party

Late afternoon into early evening, children welcome, a photo corner and a dessert table. Costs less because it uses the daytime slot, and it is the only format that reliably gets people who have stopped coming to work things.

The two-room evening

Dinner downstairs, then everyone moves upstairs to the Dome for a bar and a DJ. The physical move resets the energy at exactly the point most parties sag, around 9pm.

Decision four: the two things that make it feel expensive

After a hundred events in this building, the same two things separate a party that photographs well from one that does not, and neither is the centrepiece budget.

Lighting. Overhead fluorescents at full brightness will flatten the most beautiful room in Texas. Warm uplighting around the perimeter, chandeliers dimmed, candles on the tables — that is most of the effect, and it is cheap.

Ceiling height. Garlands, drape and any installation that goes up rather than along is what makes a room read as a venue rather than a function suite. The Mansion has the height for it, which is why the December photographs from this room look the way they do.
